Catering and event companies run on software that was never designed to talk to anything else. Total Party Planner holds the events. The CRM holds the leads. Accounting holds the invoices. Somebody on your team is the integration layer, retyping the same event three times and occasionally getting it wrong.
What I actually build for caterers
- Total Party Planner ↔ HubSpot: events, contacts and deal stages stay in sync without anyone exporting a spreadsheet.
- Caterease integrations: bookings pushed into your CRM, accounting and reporting stack.
- Proposal and quote automation: generate, send and track without rekeying event details.
- Inventory and staffing forecasts driven by real booking data rather than a manager’s memory.
- Lead routing so web enquiries reach a human in minutes, not the next morning.
How it fits together
One event, entered once.
Your booking software stays the system of record. Everything downstream updates itself.
“My software has no API”
Common in this industry, and rarely fatal. Most catering platforms without a public API still offer scheduled exports, a reporting endpoint, an email digest or a database you own a copy of. I have built dependable syncs on all four. If yours genuinely cannot be reached, you will hear that during the teardown, before you have paid for a build.
